{"id":153,"date":"2018-06-15T13:35:47","date_gmt":"2018-06-15T18:35:47","guid":{"rendered":"https:\/\/my.vanderbilt.edu\/skyvu\/?p=153"},"modified":"2018-06-15T13:35:47","modified_gmt":"2018-06-15T18:35:47","slug":"project-transaction-dates","status":"publish","type":"post","link":"https:\/\/my.vanderbilt.edu\/skyvu\/2018\/06\/project-transaction-dates\/","title":{"rendered":"New FAQ: What is the difference between the Expenditure Item Date, Creation Date and Accounting Date for my project&#8217;s transactions?"},"content":{"rendered":"<p>Expenditures associated with Grants, Faculty Funds and other projects created and managed via <strong>Projects Portfolio Management (PPM)<\/strong> in Oracle Cloud have multiple associated dates.\u00a0 These dates allow for tracking of costs from both a compliance and financial reporting perspective.<\/p>\n<p><strong>Expenditure Item Date<\/strong><\/p>\n<p>The <strong>Expenditure Item Date<\/strong> is the date that a\u00a0transaction occurs.\u00a0 For grants and contracts, the Expenditure Item Date of a transaction must be within the period of the grant in order to comply with the terms of the award.<\/p>\n<p><strong>Creation Date and Accounting Date<\/strong><\/p>\n<p>A transaction&#8217;s\u00a0<strong>Creation Date<\/strong> is the date the transaction is loaded into <strong>PPM<\/strong>, while the\u00a0<strong>Accounting Date<\/strong> is the date the transaction is recorded in the <strong>General Ledger (GL)<\/strong>.\u00a0 These dates are used for financial management and reporting purposes.\u00a0 These dates may differ depending on the timing of the accounting process for each module.<\/p>\n<p>&nbsp;<\/p>\n<p><em>Example:<\/em><\/p>\n<p>Assume that following completion of a business trip, a staff member has created and submitted an expense report, and all of the approvals (departmental and central) are completed as of June 15.\u00a0\u00a0Assume also that\u00a0the related accounting processes for both PPM and the GL are run on June 15.<\/p>\n<p>If\u00a0this report\u00a0contains an expense of $300 for an airline ticket that was\u00a0paid via credit card on May 15, then the <em>Expenditure Item Date<\/em> for that $300 in travel expense will be May 15.\u00a0 However, the <em>Creation Date<\/em> and <em>Accounting Date<\/em> for that $300 travel expense will be June 15, as\u00a0that is the date the\u00a0accounting process for the expense was completed.<\/p>\n","protected":false},"excerpt":{"rendered":"<p>Expenditures associated with Grants, Faculty Funds and other projects created and managed via Projects Portfolio Management (PPM) in Oracle Cloud have multiple associated dates.\u00a0 These dates allow for tracking of costs from both a compliance and financial reporting perspective.
