{"id":475,"date":"2019-02-05T13:29:10","date_gmt":"2019-02-05T18:29:10","guid":{"rendered":"https:\/\/my.vanderbilt.edu\/skyvu\/?p=475"},"modified":"2019-02-05T15:20:58","modified_gmt":"2019-02-05T20:20:58","slug":"updated-travel-expense-policy","status":"publish","type":"post","link":"https:\/\/my.vanderbilt.edu\/skyvu\/2019\/02\/updated-travel-expense-policy\/","title":{"rendered":"Updated Business Travel &amp; Expense Policy"},"content":{"rendered":"<p>The Finance team has recently updated the <a href=\"https:\/\/finance.vanderbilt.edu\/policies\/Travel_and_Business_Expense_Policy.pdf\">Travel &amp; Business Expense Policy<\/a> with a simplified format and a few policy updates.<\/p>\n<h3>Key changes that may impact your area include:<\/h3>\n<h4><strong>Rental\u00a0Vehicles<\/strong><\/h4>\n<ul>\n<li>All tolls, fuel, GPS and parking fees incurred while travelling for business <span style=\"text-decoration: underline\">are allowable<\/span> expenses.\u00a0 As\u00a0a result, users may\u00a0opt into prepaid gas and other services provided by the rental car provider when reasonable.<\/li>\n<li>Note that tickets and fines related to parking, moving violations or vehicle lockouts <span style=\"text-decoration: underline\">are not allowable<\/span>.<\/li>\n<\/ul>\n<h4><strong>Personal Vehicles<\/strong><\/h4>\n<ul>\n<li>Vanderbilt now requires a round-trip airfare comparison for driving a personal vehicle if the trip mileage exceeds 1,000 miles (formerly 600 miles).<\/li>\n<\/ul>\n<h4><strong>Expense Reporting: Deadlines and Tax Considerations<\/strong><\/h4>\n<ul>\n<li>Clarifies that individuals must\u00a0submit out-of-pocket reimbursement requests <span style=\"text-decoration: underline\">within 60 days of incurring the expense<\/span>.\u00a0 This deadline applies regardless of the timing of the related trip.<\/li>\n<li>The Expense &amp; Payment Cards team will report any reimbursement submitted\u00a0outside of the 60-day window to Payroll as taxable income.<\/li>\n<\/ul>\n<p>&nbsp;<\/p>\n<p>Questions regarding this policy should be directed to the <strong>Travel team<\/strong> at <a href=\"mailto:travel@vanderbilt.edu\">travel@vanderbilt.edu<\/a> or <strong>Payment Cards &amp; Expenses<\/strong> team at\u00a0<a href=\"mailto:PaymentCardsExp@vanderbilt.edu\">paymentcardsexp@vanderbilt.edu<\/a>.<\/p>\n","protected":false},"excerpt":{"rendered":"<p>The Finance team has recently updated the Travel &amp; Business Expense Policy with a simplified format and a few policy updates.
